Provides executive-level administrative support which includes calendar management, travel coordination, email management, handling of phone calls and expenses. Also, performs diverse, advanced, and confidential daily executive level administration interfacing on a daily basis with Corporate executives, CEO, and other leaders including Board Members, Family Counsel, Family Members, and other Executives within the enterprise. Independent judgement is required to plan, prioritize and organize a diversified workload.
Coordinates the day-to-day and long-range activities and operation of the Executive Office. Manages complex and dynamic calendars. Manages all aspects of travel arrangements such as booking, preparing travel itineraries, making changes as needed and submitting expense reports. Coordinates meetings to include participant's travel, lodging, dining arrangements and meeting space as needed. Creates, develops, and/or edits visual presentations as needed: prepare materials and communications for the CEO and the Board of Directors.
Serves as the liaison between the businesses, executive office and/or Board of Directors and Shareholders as needed. Facilitates communication, plans events and business meetings, and distributes information. May be asked to draft agendas and record minutes on occasion. Coordinates quarterly Board of Director meetings and monthly Board of Directors calls, including preparing materials and arranging logistics to include travel, entertainment, meals, lodging, meeting environment, and other responsibilities as needed. Sorts and distributes mail. Drafts written responses or replies by phone or e-mail when requested. Responds to regularly occurring requests for information.
Prepares general correspondences, memos, charts, tables, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy. Provides leadership to other Executive Assistants and Administrative Assistants across the enterprise, and may assume direct reports.
Communicates and works closely with the CEO and other corporate executives, and all levels of internal staff throughout Menasha Corporation. Will also interact professionally with external Menasha Corporation stakeholders, including shareholders, members of the Board of Directors, customers, suppliers, and members of the community.
Must be highly organized, with a strong attention to detail and follow-through. Must demonstrate strong communication, teamwork and interpersonal skills. Ability and willingness to take responsibility and deliver results with a spirit of innovation and strong commitment to excellence. Demonstrated ability to plan, organize and prioritize workload to satisfy the expectations of multiple constituents to successfully meet deadlines. Must be sensitive to the nature of the role, exercise discretion in both internal and external communications, and maintain company information in strict confidence.
Excellent computer skills; proficient and in-depth knowledge of relevant software such as Microsoft Office Suite (Word, Excel, PowerPoint) and internet research abilities. Knowledge of, or ability to learn software applications related to the core functions of the role (e.g., document and information management, communication, administration of corporate office financial transactions and activities, etc.).
