Air Operations Coordinator

Location: London Heathrow Airport Shift Pattern: 4 on 4 off covering 0630–1830

The Air Operations Coordinator is responsible for the effective coordination and recovery of inbound freight from multiple global origins. The role ensures accurate flight monitoring, timely customs clearance, full operational visibility, and strong stakeholder engagement, while maintaining compliance with DHL quality, safety, and regulatory standards.

Key Responsibilities

  • Co-ordinate and record the recovery of all inbound material from multiple origins.
  • Maintain and update inbound CALMS flight logs, including:
    • Monitoring inbound flights
    • Logging pre-alerts received
    • Chasing missing pre-alerts
    • Recording customs clearance and recovery times
  • Update, manage, and archive SharePoint with accurate and up-to-date flight information.
  • Prepare and distribute operational reports using multiple systems.
  • Oversee the timely loading of inbound data transmissions.
  • Maintain an up-to-date database of airline-specific information.
  • Ensure prompt follow-up of delayed or missing material by liaising with:
    • Airlines
    • DHL shippers
    • Courier facilities (LHR)
    • Origin stations
  • Prioritise workload for yourself and, when required, other team members.

Stakeholder Engagement

  • Co-ordinate and direct air operations to ensure operational standards and requirements are consistently met.
  • Communicate effectively with key internal and external stakeholders.
  • Liaise closely with the Airside Operations Team and provide accurate paperwork.
  • Inform Carriers and Linehaul teams of ongoing issues with airlines or origin stations.
  • Support the Airside Ops Team in resolving recovery issues by liaising with airline and ground handling staff to ensure rapid resolution.

Compliance & Quality

  • Ensure all air operations adhere to DHL quality standards and procedures (e.g. ISO, GSOP).
  • Apply accurate checkpoints for delayed or offloaded material and work with SQ to maintain the integrity of the LHR scorecard.
  • Ensure all material is customs-cleared prior to arrival and investigate, escalate, and resolve clearance discrepancies.
  • Maintain, review, and update procedures to ensure all operational changes meet agreed standards.

Continuous Improvement

  • Support NCC Supervisors when required, including:
    • Participation in Performance Dialogues
    • Escalation handling
    • Specialist cover duties
  • Assist with training and development of NCC team members in line with the training skills matrix.
  • Attend relevant training, workshops, and meetings to maintain and enhance skills.
  • Participate in and provide subject-matter expertise for project work as required.
  • Build cross-functional knowledge within NCC to support the wider operation when needed.

  • Take responsibility for your own health, safety, and wellbeing, and that of colleagues.
  • Report all accidents, near misses, and hazards promptly.
  • Follow all safe systems of work and ensure correct PPE is worn at all times.
  • Comply fully with DHL Health & Safety policies and procedures.

What You Will Bring

  • Ideally previous experience within Air Operations
  • Good understanding of DHL Network operations and procedures
  • Knowledge of AS400, CALMS, NMIV, CNS, and CDS systems
  • Strong PC skills, including Excel and MS Office applications
  • Excellent communication skills at all levels
  • Strong organisational skills with the ability to manage competing priorities
  • High attention to detail and accuracy
  • A collaborative team-player attitude
  • Ability to use initiative and make sound operational decisions under pressure
